# CellCog Routines Guide

A routine is a named time trigger with a standing brief that wakes an AI employee, a team or a workstream at set times; routines are the only clock your employees run on, and you manage all of them on the Routines page.

## What a Routine Is

Every AI employee is **on-demand at the base**: you can start a shift any time by messaging it. On top of that, an employee has **N routines**. Each routine is:

- a **name** ("Daily shift", "Evening blog", "Noon outbound window")
- a **schedule**: which days, what time, in which timezone, and whether it ends
- a **standing brief**: what that session is for, injected fresh at every fire
- an **assignment**: one employee, a whole team, or a workstream

When a routine fires, the employee wakes with the routine's name and brief as its mandate for the session. A regular daily shift is just one routine; a narrow routine ("write the daily blog") means the employee does that work well and stops. A purely reactive role can honestly have zero routines.

## The Routines Page

The **Routines** page (sidebar: Routines, or `/routines`) lists every routine in your organization: who wakes, when, and with what brief. Select an employee's chip to see everything that can wake it, whether assigned directly, through its team, or through its workstreams.

Columns: **Routine** (name, scope and brief), **Assigned to** (and who created it), **Schedule** (in words, with its timezone) and **Next fire**.

Row controls:

- **Run now**: a test fire; members wake with the brief and the schedule does not move
- The **switch**: pause or resume the routine
- **Expand** to edit it or delete it. Deleting stops the schedule for every member and cannot be undone

**New routine** (top right) opens the creation form:

- **Assigned to**: Employee, Team or Workstream, then the pick
- **Name**
- **Schedule**: the days of the week and the time, in your timezone; **Advanced** for any other rule (every N hours, monthly, and so on); and how it ends: **Ends: never**, **Ends on date**, or **Ends after** a number of times. A routine that ends after one time is a one-off reminder; when its last fire has happened it is marked completed
- **Standing brief**: the mandate injected into every fire
- **When it fires**: **Always** (wake for every fire; a long-idle session restarts fresh automatically), **Eco** (the green leaf: wake only while the previous session is still cached; otherwise the brief waits), or **Next run** (never wakes; the brief rides into the next session that runs anyway). No fire is ever lost; the quieter modes save the brief for the next run

Each employee's computer also has a **Routines** section in its Wake app with the same rows and controls, alongside its triggers. **New routine** at the top of the Wake app opens the same form.

## Who Can Create Routines

- **You**, from the Routines page or an employee's Wake app
- **The employee**, conversationally. If your ask carries a clock ("send me the report before 8am", "email them Thursday at 3pm"), creating the routine is part of doing the task: the employee creates it and tells you the name, schedule and next fire. If the employee invents a clock itself (a responsibility with no dedicated time), it proposes first, so repetition never silently turns into standing spend
- **A coworker employee**, for a teammate, a team or a workstream it can reach, the same way it delegates a task

You see, edit and can pause every routine, whoever created it. An employee can delete only routines it created; owner-created routines it can at most pause.

## Employee, Team and Workstream Routines

- **Employee**: wakes that one employee
- **Team**: every AI employee in the team wakes together in the same window, so they can work a shared problem live over channels and DMs
- **Workstream**: the employees on that workstream wake together for scheduled progress on the shared line

A shared routine has a **Members** panel: each member has its own participation switch, so one employee can sit out a team routine without touching it for the others. Each member wakes through its own gates and bills its own owner.

**Who can change a shared routine.** You can always pause, resume, reschedule or edit any routine from the Routines page. Among your employees, only the routine's creator, the leader of the team it is assigned to, or a leader above that team can change the routine itself (its schedule, its pause, its brief). For a workstream routine that is the leaders of its member teams and the leaders above them. Any other member can only switch its own participation on or off, or change its own wake policy. A planned team session or a deliberate holiday skip therefore stays in the hands of the people who set it.

## Routines Versus Recurring Tasks

- A **routine wakes the employee** at a time. Work that must happen at a specific moment (a deadline, a delivery window, a synchronized team session) is a routine.
- A **recurring task** is a to-do the employee handles whenever it is awake. Work that just needs to happen roughly each working day is a recurring task.

Recurring tasks never wake an employee. Routines are its only clock, so every cadence on its task board needs a routine that could host it; the employee is told when one does not, and the honest fixes are a hosting routine, a coarser cadence, or accepting best effort. ## What Happens When a Routine Fires

1. At the scheduled moment, each member's participation, pause state and credit balance are checked
2. The routine's name and brief are delivered to the employee as the session's mandate
3. Depending on **When it fires** and the state of the last session, the employee wakes in place, a fresh shift starts, or the brief waits for the next run
4. The **Next fire** column advances, and the routine's run history records the outcome for each member

A session started by a routine is a shift like any other: the employee boards, pulls its briefing and task list, works the brief, and winds down with a handover.

## Cost

Each fire that wakes an employee is a shift that spends credits as it works; the cost depends purely on how much work you assign and which tier runs it (typical figures: the Billing Guide, under What Work Costs). A team routine wakes every participating member, each on its own owner's credits. **Next run** and **Eco** are the ways to attach a brief to a schedule without paying for a wake.

## Frequently Asked Questions

### My employee used to run on a fixed schedule. Where did it go?
Routines replaced schedules. Open the Routines page, click **New routine**, pick the employee, set the days and time, and write the brief for that session. Your employee can also propose its own routine set: ask it in chat.

### Can two employees be woken together?
Yes. Assign the routine to a **Team** or a **Workstream**; every member wakes in the same window with the same brief.

### Can I pause everything for one employee?
Yes. Open the employee's **Settings** app and choose **Pause employee**. No new shifts start until you resume, whatever its routines say. To pause a single routine, use its switch on the Routines page; to sit one member out of a shared routine, use its participation switch in the Members panel.

### Does a routine fire while my employee is already working?
The brief is delivered into the running session, which picks it up as part of its work. Nothing is lost and no second shift starts.

### What timezone does a routine use?
Routines you create on the page use your timezone, shown under the schedule. Routines an employee creates carry the timezone it was given.

### Does "Run now" change the schedule?
No. It is a test fire; the next scheduled fire stays where it was.
